POSITION OVERVIEW
Lead the Experience Behind the Movement
Al Sharq Youth is looking for an Events & Conference Coordinator to help lead the planning, coordination, and execution of its major conferences, convenings, and youth-centered events.
This role sits at the intersection of strategy, operations, partnerships, program coordination, and participant experience. It requires someone who can turn a conference vision into a well-designed, well-managed, and meaningful experience, from early planning and stakeholder coordination to on-site execution and post-event evaluation.
Al Sharq Youth events are not simply logistical gatherings. They are spaces where young leaders, thinkers, activists, entrepreneurs, experts, and institutions come together to exchange ideas, build relationships, and imagine new possibilities for their societies and the world. The Events & Conference Coordinator will help ensure that these spaces are organized with excellence and aligned with the mission, values, and narrative of Al Sharq Youth.
The coordinator will work closely with the leadership, program, content, communications, logistics, registration, volunteers, partnerships, and operations teams to deliver conferences and events that are strategic, impactful, and memorable. This is a role for someone who can manage complexity, coordinate people, build systems, solve problems under pressure, and contribute to building high-impact youth experiences.
CORE RESPONSIBILITIES
1. Conference & Event Leadership
Lead the planning and execution of Al Sharq Youth conferences, sessions, convenings, and special events.
This includes developing event plans, timelines, operational structures, team responsibilities, venue requirements, participant flows, and execution systems that ensure each event is delivered with excellence.
The coordinator will be expected to move comfortably between strategic planning and hands-on implementation.
2. Strategic Event Planning
Translate the vision and objectives of Al Sharq Youth into strong event experiences.
The coordinator should ensure that conferences and events are not treated as isolated activities, but as strategic platforms that advance the mission, narrative, and community-building goals of Al Sharq Youth.
This includes thinking about the purpose of each event, the target audience, the desired participant journey, the intended outputs, and the long-term impact.
3. Operations & Logistics Management
Oversee the full operational cycle of events, including venue coordination, facilities preparation, signage, session rooms, registration areas, guest movement, technical requirements, hospitality, transportation, and on-site flow.
The role requires strong attention to detail, the ability to anticipate risks, and the capacity to solve problems quickly during implementation.
4. Team & Volunteer Coordination
Recruit, train, motivate, and manage teams and volunteers supporting Al Sharq Youth events.
This includes assigning responsibilities, preparing briefing materials, coordinating on-site roles, ensuring discipline and clarity during implementation, and creating a positive working culture among everyone involved.
The coordinator should be able to lead people under pressure while maintaining professionalism, calmness, and a sense of shared mission.
5. Partnerships & Stakeholder Engagement
Support the development and coordination of strategic partnerships related to events and conferences.
This may include working with sponsors, institutions, vendors, speakers, service providers, and collaborators to secure support, strengthen event quality, and expand the reach and impact of Al Sharq Youth events.
The ideal candidate should be able to communicate professionally with different stakeholders and represent Al Sharq Youth with confidence and clarity.
6. Vendor & Budget Coordination
Coordinate with vendors and service providers, negotiate prices, follow up on contracts, and support the financial planning of events.
The coordinator will work closely with the relevant leadership and operations teams to track expenses, support budgeting, prepare financial documentation, and ensure responsible use of resources.
7. Speaker, Guest & Participant Experience
Co-plan and oversee the experience of speakers, guests, partners, participants, and attendees.
This includes supporting travel and accommodation coordination, hospitality, registration, information flow, on-site support, and ensuring that participants have a smooth, safe, and meaningful experience before, during, and after the event.
The role requires sensitivity, service orientation, and the ability to create a welcoming environment for people from different countries and backgrounds.
8. Content & Program Coordination
Contribute to and help lead the conference content and program development process in coordination with the relevant teams.
The Events & Conference Coordinator will work closely with the content, program, and leadership teams to support the development of the conference agenda, session formats, topics, speaker flow, participant journey, and overall event experience.
This includes helping ensure that the content vision is clear, coherent, and operationally possible. The coordinator should be able to connect program ideas with practical execution, including room allocations, timing, session formats, speaker movement, breakout sessions, repeat sessions, and participant flow.
The role requires someone who can understand both the intellectual purpose of the event and the operational requirements needed to deliver it successfully.
9. Communications & Publicity Coordination
Coordinate with the communications team to support event publicity, announcements, social media campaigns, press releases, advertisements, and participant communication.
The coordinator should ensure that operational information and communication timelines are aligned, especially around applications, confirmations, registration, reminders, event updates, and post-event follow-up.
10. Monitoring, Evaluation & Learning
Conduct post-event evaluations to identify what worked, what needs improvement, and what should be integrated into future events.
The coordinator will help build, review, and improve the Al Sharq Youth conference operational manual, ensuring that lessons learned from previous conferences and events are documented and used to improve future editions.
Who We Are Looking For
We are looking for someone who combines strategic thinking, operational discipline, people leadership, and passion for meaningful youth spaces.
The ideal candidate is someone who can lead large and complex events without losing sight of the mission behind them.
They should be comfortable managing pressure, coordinating many moving parts, speaking with partners, leading teams, solving problems, and ensuring that every element of the event contributes to a coherent and powerful experience.
Required Qualifications
The ideal candidate should have:
- A bachelor’s degree in management, international relations, communications, event management, public policy, social sciences, business, engineering or a related field.
- Experience in planning and executing conferences, forums, convenings, youth programs, or large-scale events.
- Demonstrated ability to manage complex projects from planning to execution.
- Experience coordinating teams, volunteers, vendors, partners, and stakeholders.
- Strong understanding of event operations, logistics, budgeting, guest experience, and implementation planning.
- Ability to work under pressure and make quick decisions during live events.
- Strong communication, negotiation, and coordination skills.
